Terms of Service

These terms govern your use of LetChamp, a property compliance management service operated by Frosse Ltd ("we", "us", "our"), a company registered in England and Wales (Company No. 10131141).
By creating an account, you agree to these terms. If you do not agree, please do not use the service.
1. The service
LetChamp is a web-based application that helps landlords track compliance certificates, manage property portfolios, and receive expiry reminders. The service includes AI-assisted document processing to extract information from uploaded certificates.
LetChamp is a management tool. It does not provide legal, tax, or financial advice. While we aim to help you stay on top of your compliance obligations, it is your responsibility as a landlord to ensure you meet all legal and regulatory requirements. We do not guarantee that using LetChamp will make you compliant with any particular law or regulation.
2. Accounts
You must provide accurate information when registering. You are responsible for keeping your login credentials secure and for all activity that occurs under your account. You must notify us immediately if you believe your account has been compromised.
You must be at least 18 years old to use LetChamp. By registering, you confirm that you are 18 or over.
We may suspend or terminate your account if you breach these terms or use the service in a way that is harmful, fraudulent, or unlawful.
We may discontinue the LetChamp service at any time by giving you at least 90 days' written notice by email. During the notice period, you will be able to export your data. If you have a paid subscription, we will refund any prepaid fees covering the period after the service ends.
3. Free and paid plans
LetChamp offers a free plan (limited to 3 properties) and a paid Pro plan (unlimited properties). The features included in each plan are described on our pricing page and may change over time.
The free plan is provided at our discretion. We reserve the right to modify the free plan's features or property limits with reasonable notice.
4. Payments and billing
Paid subscriptions are billed monthly via Stripe. By subscribing, you authorise us to charge your payment method on a recurring basis until you cancel.
Prices are in pounds sterling and include VAT where applicable. We will give you at least 30 days' notice before any price increase takes effect. If you do not agree to a price increase, you may cancel your subscription before the new price applies.
You can cancel your subscription at any time through your account settings. Cancellation takes effect at the end of your current billing period. We do not offer refunds for partial billing periods, except within the first 14 days of your initial subscription, during which you may request a full refund.
5. Your data
You retain ownership of all data you enter into LetChamp, including property details, tenant information, documents, and financial records. We do not claim any ownership over your data.
You grant us a licence to store, process, and display your data solely for the purpose of providing the LetChamp service to you. This includes sending your uploaded documents to our AI provider for data extraction.
You can export your data at any time. If you close your account, we will delete your data in accordance with our Privacy Policy.
6. Tenant data
If you enter personal data about your tenants into LetChamp, you are the data controller for that data under UK GDPR. You are responsible for ensuring you have a lawful basis to store it, for informing your tenants about how their data is processed, and for responding to any data rights requests from them.
We act as your data processor for tenant data and process it only as necessary to provide the service.
7. Acceptable use
You agree not to:
- Use the service for any unlawful purpose.
- Attempt to access another user's account or data.
- Interfere with or disrupt the service or its infrastructure.
- Upload malicious files or content.
- Use automated tools to scrape or bulk-access the service.
- Resell access to the service without our written consent.
8. AI features
LetChamp uses AI to extract information from uploaded documents (such as certificate expiry dates). While we strive for accuracy, AI processing may occasionally produce errors. You should always verify extracted information before relying on it. We are not liable for any consequences arising from incorrect AI-extracted data that you did not verify.
9. Availability and support
We aim to keep LetChamp available at all times but do not guarantee uninterrupted service. We may occasionally need to take the service offline for maintenance, and we will endeavour to give advance notice where possible.
Support is provided by email at support@letchamp.com. We aim to respond within 2 working days.
10. Limitation of liability
To the maximum extent permitted by law:
- LetChamp is provided "as is" without warranties of any kind, whether express or implied.
- We are not liable for any fines, penalties, or losses you incur as a result of missed compliance deadlines, whether or not you used LetChamp to track them. The service is an aid, not a guarantee.
- Our total liability to you for any claim arising from your use of the service is limited to the amount you have paid us in the 12 months preceding the claim, or £100, whichever is greater.
- We are not liable for any indirect, incidental, or consequential damages.
Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded by law.
11. Intellectual property
LetChamp, including its design, code, and branding, is owned by Frosse Ltd. You may not copy, modify, or distribute any part of the service without our written consent.
Your data remains yours. See section 5.
12. Changes to these terms
We may update these terms from time to time. If we make significant changes, we will notify you by email or through the application at least 30 days before the changes take effect. Your continued use of the service after the changes take effect constitutes acceptance of the updated terms.
13. Governing law
These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
